Definitions
“Platform”: refers to any SaaS monitoring platform as developed and proposed by VIEDOC and which is made available to the Licensee under a license agreement or a trial period. The monitoring platforms concerned are:

“Licensee”: refers to any natural or legal person who obtains from VIEDOC a license to use a Platform under the conditions provided for in a license agreement.
“End User”: refers to any natural person who uses a Platform directly through the Licensee.
“Data Subject”: refers to the Licensee, the End User and any natural person who visits the Website and communicates personal data to VIEDOC.

Purpose of the Privacy Policy
The personal data provided by any data subject allows us to identify him/her as a natural person. The data subject is identifiable whenever it is possible to create a direct or indirect link between one or more pieces of information and the data subject as a natural person.
We only use and process personal data in accordance with the Personal Data Protection Regulations (PDR) and any successor legislation, or similar regulations under any applicable law, and any regulatory requirements or codes of practice governing the use, storage or transmission of personal data. In this privacy statement, any reference to the “DGPS” refers to the Regulation of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data.
Through this privacy policy, any data subject is informed of the processing activities that VIEDOC may carry out with his or her personal data. VIEDOC reserves the right to modify this privacy policy at any time. Any substantial changes will be clearly communicated to our customers. However, we advise Data Subjects to regularly review our privacy policy.

Responsibilities for the processing of personal data

When you visit and use our websites, you may provide personal data, consciously or unconsciously, such as your contact details (via our contact form) and your browsing information (via cookies). VIEDOC is responsible for the processing of this personal data since VIEDOC decides which personal data are collected and the purposes and means of processing.

On platforms

End users who use the platform through the licensee can create a user profile, upload and share information on the platform. The personal data of End Users are stored on our servers but we have no control over their collection and management. We process End User personal data on behalf of the Licensee and in accordance with our agreements. We only use the personal data of End Users to the extent necessary to provide and improve our platform and associated services. End Users are therefore advised to consult the Licensee’s privacy policy.
When using the platform, End Users can publish and share external or integrated content on the platform. This content is hosted by a third party. VIEDOC does not control which personal data is collected by the third party and what it will do with it. External or integrated content is therefore not covered by this privacy policy.

Subcontractors

At any time, VIEDOC is free to use subcontractors who will process your personal data at our request and on our behalf. Our subcontractors are required to ensure the security and confidentiality of your personal data and will always act in accordance with our documented instructions. We remain your contact person at all times. More specifically, we rely on third party companies for hosting, statistics, marketing and communication.

Legal basis for data processing
In accordance with the DGPS, VIEDOC processes personal data of Data Subjects for the following legal reasons:
– On the basis of the execution of the contract concluded with the Licensee or the execution of pre-contractual measures taken at his request;
– On the basis of compliance with legal or regulatory provisions concerning the management of the contractual relationship, in particular invoicing;
– On the basis of our legitimate interest in providing information, sending newsletters and producing statistics on site and platform traffic;
– On the basis of consent to the sending of personalised marketing offers and advertisements (direct marketing).

VIEDOC undertakes to collect and process only adequate and relevant personal data. We limit the collection of personal data to what is strictly necessary for the purposes for which the data are processed. The following categories of personal data are processed by VIEDOC:

Personal Information

Personal information refers to any information that personally identifies you, such as your first and last name, address, company name, connection details, telephone number and e-mail address and other information about you and your company. Personal information may also include financial information, such as bank details, invoices and payments. Depending on the specific use of the Platform by the Licensee, we may collect personal data about End Users, such as their name, login details and telephone number.
This data is collected through our website or the end user profile page on the Platform. The amount of personal data collected depends on your use of our services.

We use cookies on our website and platform. By using cookies, we collect information about your computer and your browsing behaviour, such as your IP address, geographical location, browser type, time and duration of your visit and the pages you visit. Purposes of the use of personal data
The processing of your personal data is essential for the provision of the Site, the Platform and our associated services. VIEDOC undertakes to process your personal data only for the following purposes:
- For contractual management purposes, such as administration, order management, invoicing, credit check, support and claims follow-up;
- Provide Data Subjects with a secure, optimal and personal experience using our website and Platform;
- For statistical purposes;
- To send you information that we think may be of interest to you, such as our newsletters;
- To send you personalized advertising if you have expressly agreed to it;
- To authenticate and identify end users on the platform;
- To inform End Users of activities on their content on the Platform;
- To send periodic activity summaries to end users on the Platform.

Recipients of personal data
Your personal data are processed for internal use within VIEDOC. Your personal data will not be sold, transmitted or communicated to third parties other than our subcontractors, except in the event that you have given us your prior explicit consent. Please note that your personal data on the Platform is visible to all other end users of the Platform and to Licensee.

How long do we keep personal data?
Your personal data are kept as long as necessary to achieve the legitimate objectives set out in paragraph 5. They will be deleted from our database as soon as they are no longer necessary for the pursuit of these purposes or if the data subject validly exercises his or her right to delete them.
More specifically, the personal data of our prospects are kept for a period of five (5) years in our database since their last activity.
In the event of termination or expiry of the license agreement, VIEDOC undertakes to delete all personal data of End Users available on the Platform within thirty (30) calendar days.

Your personal data are always processed for the legitimate purposes defined in Article 5. They shall be collected and processed in an appropriate, relevant and not excessive manner, and shall not be kept longer than necessary to achieve the intended objectives.

Exercising your rights
On the platform, end-users can access their personal data directly or modify their personal data via their profile page. They can also limit the processing of their personal data by defining their preferences. For any other privacy question or request, the End User must send a written request and proof of identity by registered mail to 2 rue Hélène Boucher, 78280 GUYANCOURT (France), or by e-mail to info@viedoc.biz. We will respond as soon as possible, but no later than one (1) month after receipt of the request.
